Supporting a tourism conference at Glenpark Estate

Fermanagh and Omagh District Council hosted a tourism conference at Glenpark Estate, bringing together speakers, delegates and stakeholders from across the local visitor economy.

For an event like this, the AV setup has to do a few things well. Presentations need to be easy to follow, speakers need to be heard clearly, and the room needs to feel professional without the technical production becoming a distraction.

Glenpark Estate provided a strong setting for the conference, but the AV system still needed to be carefully planned around the room layout, presentation format and audience experience.

The brief

The event required a clean and reliable conference setup that could support presentations, keynote speakers and live content throughout the day.

The core requirements were:

  • A high-quality digital backdrop for presentations

  • Clear speech reinforcement for delegates in the room

  • Wireless microphones for speakers and panel-style moments

  • A comfort monitor for presenters

  • Simple lighting to improve speaker visibility

  • Recording support for post-event use

  • On-site technicians for setup, operation and de-rig

This was not about creating a heavy production look. The priority was a polished, functional setup that supported the purpose of the conference.

LED screen backdrop

A key part of the setup was the digital backdrop.

We supplied two 3m x 2m high-resolution LED video walls using a 2.9mm pixel pitch. This gave the event a sharp, bright presentation surface that worked well in the conference environment.

LED screen hire is often a strong choice for tourism conferences and business events because it gives reliable brightness, good visibility and a clean stage look without relying on projection distance or room blackout.

The LED wall system included:

  • High-resolution LED panels

  • Stacking bases and support structure

  • Novastar processing

  • Long-range HDMI signal runs

  • Weighted support for stability

  • Laptop and presentation inputs

The result was a clean digital backdrop that helped anchor the stage and keep attention on the content.

Presentation control and speaker support

For presentation management, we used a Roland V8 vision mixer to handle the video feed and switching.

Two Windows presentation laptops were included to support content playback and provide redundancy where needed. A professional MicroCue clicker was also supplied, giving presenters control of their slides from the stage.

A 40-inch comfort monitor was positioned for the presenters, allowing them to see their slides without turning away from the audience. This is a small detail, but it makes a noticeable difference to the flow of a conference.

Conference sound system

For audio, the focus was speech clarity.

We provided a compact PA system using EV active loudspeakers, controlled through a Midas M32R digital audio desk and Midas stagebox. This gave the technicians control over multiple inputs while keeping the setup efficient and reliable.

The microphone package included:

  • Wireless handheld microphones

  • RF paddle support for wireless stability

  • A gooseneck lectern microphone

This allowed the event to support different speaker formats, from lectern presentations through to handheld microphones for questions or panel-style discussion.

Lighting for visibility

The lighting setup was kept simple and purposeful.

Two LED profile spotlights were used to improve visibility on the speaker area. For a conference environment, this kind of lighting is less about creating effects and more about helping the room feel focused, balanced and professional.

Good lighting also helps recording quality, particularly where footage may be used after the event.

Recording and post-event footage

The conference also included a recording element.

We supplied a camera, tripod, audio recording equipment, capture hardware and a streaming laptop to support the recording workflow. A video editor was also scheduled after the event to prepare footage for post-event use.

For council events, tourism conferences and stakeholder sessions, recording can be useful for internal review, future promotion, online sharing or archiving key presentations.

On-site delivery

The event was delivered with a planned setup ahead of the conference, live technical support during the event, and de-rig once the programme was complete.

Having technicians on site meant the council team could focus on the event itself, while the AV team looked after presentation changes, microphones, audio levels and screen content.

Outcome

The final setup provided a clean and professional conference environment at Glenpark Estate.

The LED screen gave the room a strong visual focus, the PA system supported clear speech, and the comfort monitor helped presenters move through their content smoothly.

The AV setup was designed around the format of the day: practical, reliable and appropriate for a tourism conference with multiple stakeholders in attendance.
