AGMs have their own requirements: clear audio for questions from the floor, presentation playback for the accounts and reports, confidence monitors for the board, and a professional look that reflects the organisation in front of its members. We produced the Visit Belfast AGM 2025 at the Europa Hotel with a 6m LED video wall, lighting, staging and microphones, and the NI Chamber AGM 2025 at Queen's University Belfast.

We ran three rooms at Titanic Belfast for almost 400 delegates at Gemba Summit 2025, the main room plus breakout setups at Galgorm Resort for NI Chamber Momentum 2026, and dual LED walls with breakout presentation setups and digital delegate timers at Meet the Buyer 2025.

Yes, and it is a large part of what we do. We keep the layout, the show file and the build detail from one year to the next, so the second year starts from a working setup rather than a blank page. That holds even when the venue changes, which for membership organisations it often does.

Collecting decks the day before makes for a calmer morning, and we will chase them if you want us to. But late decks are normal at every conference we deliver, and we plan for them rather than treating them as an exception.

In-house AV is convenient and already in the building. It is usually the right answer for a straightforward meeting with a screen and a couple of microphones.

An external production company makes more sense when the event carries reputational weight, when you need a specific look rather than the venue's standard setup, when there are multiple rooms or a complex running order, or when you want the same team and the same standard across venues year after year. It is also worth checking the in-house AV terms before you sign the venue contract, because some venues restrict external suppliers or charge to allow them, and that is much easier to negotiate before signing than after.

For a single-room conference of around 200 delegates, typically half a day. Multi-room conferences and larger LED builds usually need the full day before, or an overnight window.

Short windows are workable when the venue allows it. At Movement Conference 2025 in Dublin we installed two LED video walls and full stage lighting for 600 attendees inside a seven-hour overnight window.

Streaming depends on the venue's internet.

Yes. We deliver across the island of Ireland from our Belfast base. Recent Dublin conferences include Movement Conference 2025 at City North Hotel, for 600 attendees, and PAM 2025 at The Gibson Hotel, across three event days with a custom stage build.

Rooms with high ceilings, glass or bare walls need more care. We have delivered in St George's Market and the Whitla Hall at Queen's, which are both acoustically demanding spaces.
