  • Three steps.

    1. We come back to you within one working day. Usually with a couple of questions rather than an immediate quote, because the useful questions are about the room and the running order, not the kit list.

    2. We put a quote together. Within three working days of having the detail. It is itemised, so you can see what each element costs and what changes if the event grows or shrinks.

    3. We visit the venue if it helps. Particularly for larger events, a new venue or anything with rigging, access or power questions attached.

  • The date, the venue, the guest or delegate number and the type of event will get you a useful quote. Anything else you can add helps: the running order, whether there are breakout rooms, whether you need streaming, whether it is part of a series, and whether you need visuals to get sign-off internally.

    If you do not have all of it yet, get in touch anyway. Early-stage conversations are normal and we would rather help you shape the brief than wait for a finished one.

  • No, site visits and initial consultations are free.

  • Yes. Call +44 28 9560 1216 during office hours and you will get a person who knows the events, not a call centre. Or email events@axl-av-hire.com. The form exists because it collects the detail we need in one go, not because we would rather not speak to you.

  • You get a named production manager who plans the event with you and is on site on the day. You will have their direct contact details before the event, not just the office number.

    The most common complaint about AV suppliers is that they go quiet. Having a named person with a direct number is the simplest way we know to prevent that.

  • Yes. We work as the technical delivery partner for agencies regularly. We will work under your branding on site if you want us to, we join your planning calls, and we do not approach your client.

  • Venues and procurement teams often ask for this documentation before confirming. We provide it as standard rather when requested.

  • Quotes are valid for 14 days. We confirm on a 20 per cent deposit, which is deducted from the total and is non-refundable. The balance is payable within 28 days of invoice. Cancellation within 14 days of the event incurs 50 per cent of the fee, and within 7 days the full fee, because the kit and crew are committed by then. Anything added after confirmation is quoted separately. Full terms come with every quote.
